Frequently asked questions
What is Electronic Document Interchange (EDI)?
EDI (Electronic Data Interchange) means the automatic sending and receiving of business documents between companies electronically. Instead of paper documents (e.g. purchase orders, invoices, delivery notes), companies send data via computer systems – quickly, securely and without the errors caused by manual input.
In which industries is EDI most commonly used?
EDI is used in many industries where there is a lot of document exchange between companies. It is most commonly used in:
- Retail and wholesale – e.g. for orders, delivery notes and invoices
- Automotive – to coordinate production and deliveries
- Healthcare and pharmacy – for ordering medicines, medical devices
- Logistics and transport – for tracking shipments, deliveries, customs procedures
- Public administration – for submitting eInvoices and other official documents
Which documents are covered by the exchange process (EDI)?
The most commonly used EDI documents are:
- eOrder (ORDERS) – when a customer orders goods or services
- Order Confirmation (ORDRSP) – the supplier confirms the order
- Delivery note (DESADV) – shipment forecast
- eInvoice (INVOIC) – electronic invoice
- Receiving office, return of goods, stock notifications, etc.
What are the key benefits of EDI?
There are many benefits to be gained from the introduction of EDI:
- Fewer errors – because there is no manual transcription
- Saves time and costs – documents are exchanged in seconds
- Increased transparency and traceability – every document has its own history
- Better cooperation with business partners
- Preparing for the digital future and legal requirements (e.g. eAccounts for Public Administration)
What do we need to introduce electronic document exchange?
To successfully implement EDI, you need:
Standardised formats
Companies need to use the same “languages” to understand each other’s data. The most common formats are EDIFACT, eSlog, XML, X12, EANCOM.
EDI software
Both partners need the right software solution to:
- converting documents into the correct format
- integration with other software (e.g. ERP systems)
- automatic data processing
Reliable connection
Special networks, such as bizBox, are used for the secure transfer of documents, ensuring that documents arrive quickly, securely and without lost information.
